Member Services Officer – Full Time

Starting Salary Range: $55,187 - $66,252

The Association of Administrative and Professional Staff (AAPS) represents over 3000 members and is recognized by the University of British Columbia as the sole bargaining agent for the Management and Professional (M&P) staff of UBC.  While AAPS functions in many respects like a union it is not certified under the Labour Code.  AAPS negotiates and administers a collective agreement on behalf of its members. It works with UBC to advance the interests of M&P employees and provides professional development opportunities for its members. 

We are currently looking for a Member Services Officer – Training, Development and Communications to join our team.  Reporting to the Executive Director of AAPS, the role provides a range of professional and administrative services to members and the Association including: education & professional development, communications and research.  In this role you will work closely with other AAPS staff, the AAPS Board, Management and Professional staff working for UBC, AAPS committees, and third party service providers.

Primary Responsibilities Include:

Training and Development

  • Manage all training and development programs for AAPS members at all locations.
  • Work with facilitators and provide oversight on content of training and development workshops and workshop materials.
  • Liaise with speakers, professional development volunteers and vendors on an ongoing basis.
  • Develop a Professional Development strategy that aligns with the strategic priorities of the AAPS Board.
  • Set up workshops and evaluate facilitators.
  • Schedule and coordinate all programs including marketing, enrolment monitoring, facilities and material coordination.
  • Maintain the electronic registration system.
  • Develop surveys/questionnaires. Conduct basic or moderately complex data analysis to support the measurement of results for learning programs; prepare required reports as needed.
  • Monitor and control expenditures for events.


  • Work with the Executive Director and the Communications Committee in designing, writing, editing, and producing various communications materials.
  • Design and implement a communications strategy that promotes member engagement and a sense of affinity among the membership.
  • Compile, design and edit e-newsletter.
  • Manage the AAPS website.  Create and maintain web content.
  • Track readership of newsletter and analyze web statistics.
  • Design advertisements for professional development events.
  • Design, write, edit, and produce various communications materials (e.g. brochures).

With assistance from graphic design consultant and Communications Committee, develop and oversee the production of the annual report.

  • Create and layout PowerPoint presentations.
  • Manage AAPS social media activities such as LinkedIn, and promote member engagement through social media.
  • Monitor new technologies, media and communications trends and assess their potential for adoption by AAPS.
  • Undertake other projects as assigned.


  • Gather, organize and present information in preparation for communication with members.
  • Research projects as assigned.

Qualifications & Experience:

  • The ideal candidate will possess a Bachelor’s Degree (e.g. Communications, Education, Labour Relations) and a minimum of 2 years related experience, ideally with a focus in training and development.
  • Must be detailed oriented, have strong project management skills, and be able to coordinate many activities at once.
  • Must be tactful, diplomatic and possess the ability to communicate with individuals at all levels of an organization.
  • Ability to meet goals with minimal supervision and a good business sense are key to success in this role.
  • Ability to work independently with little supervision and to self-direct.
  • Excellent research skills and the ability to present findings in a concise and coordinated manner.
  • CHRP designation or demonstrated interest in pursuing a designation an asset.
  • Ability to organize, demonstrate attention to detail, prioritize and work efficiently; proven ability to manage multiple projects that are complex in nature and broad in scope.
  • Proficient in Microsoft Office Suite.
  • Experience using Drupal and Adobe Creative Suite would be an asset.
