Update: PD Fund Claims Deadline is now March 5 2021

We have just received an update from UBC HR.

The deadline to submit your claims in Workday to the M&P Staff PD Fund is now Friday, March 5, 2021.


We have received some updates from UBC HR regarding the M&P PD Fund. We wanted to ensure that all members are aware of the changes.

While AAPS negotiates the M&P Staff PD Fund (Letter of Agreement #3) the fund is administered by central UBC HR in Vancouver. Please remember that this fund is for your self-directed professional activities that support your self-directed job or career growth at UBC.

The fund is not a replacement for department professional development funding, and your manager or director does not have the right to direct the use of these funds.


UBC HR has set a deadline of Monday, March 15, 2021 Friday, March 5, 2021 to submit your M&P Staff PD Claims through Workday for the 2020-2021 Fiscal Year.

If it is your first time submitting a PD claim through Workday, please leave yourself extra time in case you have challenges. There are instructions on how to submit your claim if you search the "Knowledge Base" after logging into Workday.

Please remember that it does not matter what fiscal or calendar year your activity takes place. But you need to submit your receipts within 60 days of purchase to qualify. Aside from courses, seminars, conferences, and workshops, you can also use your M&P Staff PD Fund for such items as professional memberships (not required for your job), subscriptions, books, and coaching.

UBC HR has reported that a significant portion of the M&P Staff PD Fund is still available. They anticipate that the fund will last through this fiscal year, but that projection is subject to the amount of claims they receive.

UBC HR will be posting updates about the amount of funds left on the 1st and 15th of the month for the rest of the fiscal year on their website. Please ensure that you are looking at Management and Professional (AAPS) information as each employee group's PD Fund is different. You might also want to review the Workday "Knowledge Base" for instructions on viewing the fund's overall size.

Any additional funds left from the 2020-2021 fiscal year will be rolled over to the fund for the 2021-2022 fiscal year.

A number of you have asked if the $550.00 limit will be increasing and the list of eligible expenses will be expanding. As we have previously noted, UBC HR did not make changes to those guidelines for the current fiscal year. We have been collecting your feedback and will raise these suggestions with UBC HR.   • Your manager will not sign-off on your PD Fund submission
  • Your manager does not sign-off on your PD Fund submission by UBC HR's deadline
  • Your claim is denied by UBC HR
  • You are being asked to use your PD Fund for activities directed by your manager or department

The insignificant increase to the overall amount of the M&P Staff PD Fund was one of the successes of the 2019-2022 round of Collective Bargaining.
