M&P Staff PD Fund is now open for 2020/21

The M&P Staff PD Fund reopened April 1, 2020 for the 2020/2021 fiscal year.

The M&P Staff PD Fund is negotiated as part of your Collective Agreement under Letter of Agreement # 3 and is administered by UBC HR.

The fund allows AAPS members to use up to $550 per fiscal year from a general pool of money of $684,000 for self-directed professional development activities. This general pool of money typically runs out in January. There is plenty of time to determine your professional development activity for this fiscal year.


You must submit your receipts within 60 days of purchase to qualify for reimbursement.

The M&P Staff PD Fund is not concerned with the fiscal or calendar year your activity takes place.

You can view the overall amount in the fund, how much you have used for the fiscal year, or the status of your application by logging into your UBC management system portal Workday.

This is not something that you need to focus on right now, but we wanted to remind members that the fund for the new fiscal year has opened, and PD funds are available. We will send out another reminder in the fall.


What does self-directed mean?

Self-directed refers, in general, to activities that you initiate, select, and are related to your job or career growth at UBC. It does not need to be an activity that relates to your current role. You can consider your future career prospects at UBC as a whole institution and use the PD Fund to forward or shift your career

It is also not an activity that your manager initiates and determines for you or asks you to participate in as a team. Your department needs to pay for those activities. In addition, if you have a professional designation or certification that is required for your job, your department needs to pay those fees as well.


What kinds of activities are covered?

Please review the guidelines before submitting to the fund, and if you have specific questions about what is covered, please contact the M&P Staff PD Fund through UBC HR.

Generally, the following is covered so long as they are self-initiated and self-directed by you, the employee, and relates to your current job or future career growth at UBC.

  • Courses
  • Workshops
  • Conference registration
  • Professional designations and certifications that are not required for your job
  • Books
  • Travel and accommodation outside of your local area

In light of the current circumstances, UBC HR is asking that you make sure that in-person activities, travel, accommodation are 100% refundable before making your booking. Please contact the M&P Staff PD Fund if you have questions.


Changes to Reimbursement Process

Due to COVID-19, UBC HR has made changes to the reimbursement process and is temporarily allowing you to submit your forms and receipts electronically. For specifics on what documentation is required and how to get reimbursed for a PD activity, please review the temporary instructions on the UBC HR website.

Other Considerations

  • If you work less than 50%, the M&P Staff PD Fund amount will be pro-rated to 50%
  • If you are on working notice, you can access the fund while on working notice, but please note that your PD activity must take place within the time that you are still working at UBC
  • If your term appointment is ending this fiscal year, please note you need to access the fund while you are still actively employed and your activity needs to take place while you are still actively employed

When to talk to AAPS

If your manager/supervisor won’t sign off on your activity or if your activity is denied by UBC HR, please contact the AAPS Office. If you have other concerns related to getting reimbursed, please let us know.
